Grouping and then collapsing data in Excel can improve readability. It is especially handy when you deal with lots of data.<\/p>\n\n\n\n

Take a look at the following example:<\/p>\n\n\n\n

It represents sales of our products. Let\u2019s say that we don\u2019t want to see sales for each month, only a summary for each quarter of a year.<\/p>\n\n\n\n

Grouping rows<\/h2>\n\n\n\n

We will group cells for each quarter in order to improve our data visually and make it more concise.<\/p>\n\n\n\n

In order to do this, click and drag row numbers<\/a>, first, for rows 2<\/strong> to 4<\/strong>.<\/p>\n\n\n\n

Choose DATA >> Outline<\/strong> and press the Group<\/strong> button.<\/p>\n\n\n\n

Do the same for the remaining rows (6-8<\/strong>, 10-12<\/strong>, 14-16<\/strong>).<\/p>\n\n\n\n

This will give us the following result.<\/p>\n\n\n\n

TIP<\/h3>\n\n\n\n

Instead of clicking the group button in the ribbon<\/a> each time you want to create a new group, you can use the Shift + Alt + Right Arrow<\/span><\/strong> keyboard shortcut.<\/p>\n\n\n\n

Collapsing rows<\/h2>\n\n\n\n

If you want to collapse rows, you can do it both ways:<\/p>\n\n\n\n

1. Individually (by clicking the “\u2013”<\/strong> button).<\/p>\n\n\n\n

2. All at once (by clicking the “1”<\/strong> button).<\/p>\n\n\n\n

Expanding grouped rows<\/h2>\n\n\n\n

Similarly, you can expand grouped rows using one of the two methods:<\/p>\n\n\n\n

1. Individually (by clicking the “+”<\/strong> button).<\/p>\n\n\n\n

2. All at once (by clicking the “2”<\/strong> button).<\/p>\n\n\n\n

Ungrouping rows<\/h2>\n\n\n\n

To ungroup rows, first select rows to ungroup, then choose DATA >> Outline >> Ungroup<\/strong> or use The Shift + Alt + Left Arrow<\/span><\/strong> keyboard shortcut.<\/p>\n\n\n\n

Collapsing nested rows<\/h2>\n\n\n\n

You can group cells inside other cells. Look at this example.<\/p>\n\n\n\n

First, select and group rows from 2<\/strong> to 11.<\/strong> When you have the first group create two other groups (2-5<\/strong> and 7-10<\/strong>).<\/p>\n\n\n\n

After you created groups, you have three buttons.<\/p>\n\n\n\n

“1”<\/strong> \u2013 will collapse all groups<\/p>\n\n\n\n

“2”<\/strong> \u2013 will collapse subgroups<\/p>\n\n\n\n

“3”<\/strong> \u2013 will expand all groups.<\/p>\n\n\n\n

Collapse columns<\/h2>\n\n\n\n
