Excel has many options and functions to help us with this. <\/p>\n\n\n\n<p>In the text below, we will show how can you count the occurrence of a certain word in a range, whether it be a string or a column. <\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Column with Formula<\/h2>\n\n\n\n<p>Counting the occurrence of a word in a column is fairly simple to do and can be done with the formula <strong>COUNTIF<\/strong>. This formula does just what you presume- it shows the count in the range based on the criteria that we add. <\/p>\n\n\n\n<p>It has two parameters: <\/p>\n\n\n\n<ul>\n<li><strong>Range:<\/strong> From where we want to extract the data.\n  <\/li>\n\n\n\n<li><strong>Criteria:<\/strong> What are the criteria that need to be satisfied so that our range is counted.\n  <\/li>\n<\/ul>\n\n\n\n<p>\n  We will use a simple table of different fruits for our example:\n<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img loading=\"lazy\" decoding=\"async\" width=\"299\" height=\"137\" src=\"https:\/\/officetuts.net\/excel\/wp-content\/uploads\/sites\/2\/2021\/08\/word-image-206.png\" alt=\"\" class=\"wp-image-6941\"\/><\/figure>\n\n\n\n<p>If we want to count the number of times that the word <strong>\u201cOrange\u201d<\/strong> appears in <strong>column A<\/strong>, we will input the following formula in cell <strong>A7<\/strong>: <\/p>\n\n\n\n<pre class=\"wp-block-code\"><code>=COUNTIF(A2:A6, \"Orange\") <\/code><\/pre>\n\n\n\n<p>We will get the following result: <\/p>\n\n\n\n<figure class=\"wp-block-image\"><img loading=\"lazy\" decoding=\"async\" width=\"97\" height=\"162\" src=\"https:\/\/officetuts.net\/excel\/wp-content\/uploads\/sites\/2\/2021\/08\/word-image-207.png\" alt=\"\" class=\"wp-image-6942\"\/><\/figure>\n\n\n\n<p>The word <strong>\u201eOrange\u201c<\/strong>appears two times in the first column, which is shown in the table above as well. <\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Multiple Columns with Formula<\/h2>\n\n\n\n<p>If we want to count the occurrence of the word <strong>\u201eOrange\u201c<\/strong> in our table as a whole, there is no reason why we should not use the same function again. <\/p>\n\n\n\n<p>Of course, we have to include all of our cells in our formula range now, not just the ones from the first column. <\/p>\n\n\n\n<p>We will place our formula in E2 cell and the formula will be: <\/p>\n\n\n\n<pre class=\"wp-block-code\"><code>=COUNTIF(A2:D6, \"Orange\") <\/code><\/pre>\n\n\n\n<p>The result is four, which means that the word \u201cOrange\u201d is occurring four times in our range. <\/p>\n\n\n\n<figure class=\"wp-block-image\"><img loading=\"lazy\" decoding=\"async\" width=\"354\" height=\"160\" src=\"https:\/\/officetuts.net\/excel\/wp-content\/uploads\/sites\/2\/2021\/08\/c-users-harun-desktop-upwork-excel-how-to-count-o.png\" alt=\"C:\\Users\\Harun\\Desktop\\Upwork Excel\\How to Count Occurrence of a Word in a Range\\countif-example-2.PNG\" class=\"wp-image-6943\" srcset=\"https:\/\/officetuts.net\/excel\/wp-content\/uploads\/sites\/2\/2021\/08\/c-users-harun-desktop-upwork-excel-how-to-count-o.png 354w, https:\/\/officetuts.net\/excel\/wp-content\/uploads\/sites\/2\/2021\/08\/c-users-harun-desktop-upwork-excel-how-to-count-o-300x136.png 300w\" sizes=\"(max-width: 354px) 100vw, 354px\" \/><\/figure>\n\n\n\n<h2 class=\"wp-block-heading\">Column with Pivot Table<\/h2>\n\n\n\n<p>There is also a neat way in which we can count the occurrence of a word with Pivot Table. To do this, we will unmerge the first row and then create four different columns (Fruits 1, Fruits 2, Fruits 3, and Fruits 4).<\/p>\n\n\n\n<p>Then, we have to select our range, then go to <strong>Insert &gt;&gt; Tables &gt;&gt; Pivot Table<\/strong>.<\/p>\n\n\n\n<p>When we create the table we will put Fruits 1 the Rows Field and Fruits 1 in values as well.  <\/p>\n\n\n\n<p>We will choose <strong>Count<\/strong> in <strong>Value Field Settings<\/strong>: <\/p>\n\n\n\n<figure class=\"wp-block-image\"><img loading=\"lazy\" decoding=\"async\" width=\"376\" height=\"324\" src=\"https:\/\/officetuts.net\/excel\/wp-content\/uploads\/sites\/2\/2021\/08\/word-image-208.png\" alt=\"\" class=\"wp-image-6944\" srcset=\"https:\/\/officetuts.net\/excel\/wp-content\/uploads\/sites\/2\/2021\/08\/word-image-208.png 376w, https:\/\/officetuts.net\/excel\/wp-content\/uploads\/sites\/2\/2021\/08\/word-image-208-300x259.png 300w\" sizes=\"(max-width: 376px) 100vw, 376px\" \/><\/figure>\n\n\n\n<p>Our <a href=\"https:\/\/officetuts.net\/excel\/training\/tables\/\">table<\/a> looks like this: <\/p>\n\n\n\n<figure class=\"wp-block-image\"><img loading=\"lazy\" decoding=\"async\" width=\"228\" height=\"126\" src=\"https:\/\/officetuts.net\/excel\/wp-content\/uploads\/sites\/2\/2021\/08\/word-image-209.png\" alt=\"\" class=\"wp-image-6945\"\/><\/figure>\n\n\n\n<p>We can see the occurrence of every word in our range. <\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Cell with Formula<\/h2>\n\n\n\n<p>For the last example, we will write the various fruits in the same cell. We will input them in a cell A11, and our sentence will look like this: <\/p>\n\n\n\n<figure class=\"wp-block-image\"><img loading=\"lazy\" decoding=\"async\" width=\"454\" height=\"310\" src=\"https:\/\/officetuts.net\/excel\/wp-content\/uploads\/sites\/2\/2021\/08\/word-image-210.png\" alt=\"\" class=\"wp-image-6946\" srcset=\"https:\/\/officetuts.net\/excel\/wp-content\/uploads\/sites\/2\/2021\/08\/word-image-210.png 454w, https:\/\/officetuts.net\/excel\/wp-content\/uploads\/sites\/2\/2021\/08\/word-image-210-300x205.png 300w\" sizes=\"(max-width: 454px) 100vw, 454px\" \/><\/figure>\n\n\n\n<p>The word that we will look for will be, obviously, <strong>\u201cOrange\u201d<\/strong>. <\/p>\n\n\n\n<p>The formula that we have to input the find the occurrence of the word \u201cOrange\u201d in our range will be: <\/p>\n\n\n\n<pre class=\"wp-block-code\"><code>=SUMPRODUCT(LEN(A11)-LEN(SUBSTITUTE(UPPER(A11),UPPER(B13),\"\")))\/LEN(B13) <\/code><\/pre>\n\n\n\n<p>The basic idea of this formula is to count a number of that word in a specific range and to then divide it by the length of the word.  <\/p>\n\n\n\n<p>Orange is appearing four times in a range, so its total length is <strong>24 (4&#215;6)<\/strong>. <\/p>\n\n\n\n<p>First, we will explain all of these functions as follows: <\/p>\n\n\n\n<p><strong>SUMPRODUCT<\/strong>&#8211; this function, as its name suggests, gives us the sum of the products for our range.\n<\/p>\n\n\n\n<p><strong>LEN<\/strong>&#8211; is short of length, and this function returns us the length of a string.\n<\/p>\n\n\n\n<p><strong>SUBSTITUTE<\/strong>&#8211; this one is pretty self-exploratory. It substitutes one or more instances of a given string.\n<\/p>\n\n\n\n<p><strong>UPPER-<\/strong> this function makes all the letters in our text string as upper letters, thus making sure that our string is not case sensitive.\n<\/p>\n\n\n\n<p>These functions are used in the upper formula as follows: <\/p>\n\n\n\n<pre class=\"wp-block-code\"><code>LEN (A11)<\/code><\/pre>\n\n\n\n<p>It returns the count of characters in our range, which is, in our case, 57.  <\/p>\n\n\n\n<pre class=\"wp-block-code\"><code>LEN(SUBSTITUTE(UPPER(A11),UPPER(B13),\"\"))) <\/code><\/pre>\n\n\n\n<p>Substitute replaces a word in <strong>B13<\/strong> (which we made to be a word <strong>\u201cOrange\u201d<\/strong>) with the empty sign- \u201c\u201c. Then <strong>LEN<\/strong> functions come into place. It returns the count of characters after we did the substitution. We will get 33 as a result of this.  <\/p>\n\n\n\n<pre class=\"wp-block-code\"><code>LEN(B13)<\/code><\/pre>\n\n\n\n<p>It returns the length of a word in B13 which is number 6 (for the word \u201cOrange\u201d). <\/p>\n\n\n\n<p>Finally, we have the <a href=\"https:\/\/officetuts.net\/excel\/formulas\/sumproduct-formula\/\">SUMPRODUCT formula<\/a> that takes place.
